Accommodation
Reservations should be made during the online registration process, alternatively should you require further information please contact us at registration@wcaa2012.com. All rates will be confirmed on your accommodation acknowledgement and will be inclusive of VAT at the prevailing rate, service charge and full Scottish breakfast, unless otherwise stated.

Reservations
Reservations should be made on-line and must be secured by either a sterling cheque drawn on a UK bank or payment by credit card for the full prepayment. Please note that bank charges are the responsibility of the payee. Reservations must be received by Monday 16 April 2012, thereafter accommodation will be subject to availability.

Congrex UK Ltd will endeavour to meet all accommodation requests. However, should your preferred hotel choice be unavailable, we reserve the right to make your booking at the nearest available alternative.

Your reservation will be confirmed when Congrex UK/WCAA 2012 has received your full prepayment.

Payment
Payment should be made in advance of the Congress by one of the following methods:
 
1.  MasterCard/Visa.  Please note that all fees paid by credit card will be charged at the actual exchange rate at the time of the transaction.  No other credit cards can be accepted.
2.  Cheque or banker’s draft, in pounds sterling only, drawn on a UK bank made payable to ‘Congrex UK/WCAA 2012’

Please ensure that you include your name and registration fee details with your bank transfer. Congrex UK, the Congress Secretariat, will not be responsible for identifying funds transferred directly into the account when the participant name is not mentioned. All bank charges or bank fees associated with the transfer will not be accepted and must be met by the participant.

Please note all bank transfer payments must be received no later than 6 August 2012. If we have not received full payment for your registration fee and have not had any written communication from you in regards to your registration payment by the 6 August 2012 then your registration will be cancelled and you will need to re-register onsite at the Congress at the on-site registration rate.

Cancellations, Amendments and Substitutions
Cancellations must be received in writing to Congrex UK Ltd before Monday 16 April 2012. Prior to this date any payments will be refunded less a £50.00 administration charge. After 16 April 2012 payments are non-refundable. However, substitution of attendees may be made at any time a long as prior notice in writing is received.

In the event of non-arrival the hotel will automatically release the reservation by 09:00 hours the following day, unless notification of any delay is given, but in either case the full stay will be charged and no refund will be given.

Early departures will also be charged for the total stay and are also non-refundable.
